The Challenge

A regulated provider relied on shared mailboxes for operational requests, compliance documents, follow-up tasks, and stakeholder communication. Important messages were manually triaged, responses were inconsistent, and there was no reliable audit trail showing when emails were received, classified, actioned, or acknowledged.

Our Approach

We implemented an Email Watcher service using scheduled background jobs, mailbox monitoring, parsing rules, configurable classification logic, attachment handling, workflow triggers, and auto-reply templates. The solution logged every message, action, exception, and response, while allowing business teams to adjust routing rules without code changes. Integration points were added for downstream incident, quality, or task workflows.
